Add Invoice/Estimate Terms
The Add Invoice/Estimate Terms feature enables account owners and administrators to create customized terms and conditions for invoices or estimates, ensuring clear communication with clients. This tool provides flexibility to define payment timelines, validity periods, and detailed instructions tailored to your business requirements. With options to set default terms and format text for clarity, businesses can streamline their financial processes while maintaining professionalism and consistency.
Prerequisites: Account owners and those with administrator access.
Instructions
- From the main Dashboard, click the Administration tab.
- You will enter the Administration Dashboard.
- Click on Financial Settings.
- Click Invoice Terms from the expanded Financial Settings tab to enter the Manage Invoice Terms page.
- Click the blue Add Invoice Term button to enter the New Invoice Term page.
- Fill in all fields (All are required):
Terms Title (Internal Use Only): This field allows you to assign a title to the invoice or estimate terms for internal reference. It is not visible to customers and helps users easily identify different sets of terms.
Terms Apply to Invoice or Estimate?: This dropdown lets you specify whether the terms apply to invoices or estimates. It ensures the terms are correctly aligned with the type of document being created.
Invoice Due Date / Estimate Valid Length (Days): This field defines the number of days for invoice payments to be due or the validity period for an estimate. It helps set clear timelines for clients.
Default?: This toggle determines whether the created terms should be the default for new invoices or estimates. If set to "Yes," these terms will automatically populate for new entries.
Invoice/Estimate Terms: This text editor allows you to write the detailed terms and conditions for invoices or estimates, such as payment instructions or late payment penalties. It includes formatting options for clarity. - Once complete, click Save.
- You should then be taken back to the Manage Invoice Terms page where you will now see your new invoice term.
