Viewing and Managing Customer Account Page
The Customer Account page provides authorized users with a comprehensive overview of individual customer accounts. This centralized interface allows you to access and manage all aspects of a customer's information, including billing details, contact information, account managers, and payment terms. You can review key financial metrics such as lifetime value, account credit, outstanding balances, and open jobs. The page also features interactive tabs that let you navigate through jobs, invoices, estimates, agreements, and schedules associated with the customer. Additionally, you can add notes, export data, and utilize interactive search to retrieve specific information. This holistic view streamlines customer management, ensuring efficient communication, accurate billing, and effective service delivery.
Prerequisites: Authorised Users.
Instructions
- From the main Dashboard, click the Accounts tab.
- You will be taken to the Manage Accounts page.
- Scroll through, sort or search for an account. Once you have located the account you wish to view, click on the dropdown arrow to reveal the menu.
- Click View, to be directed to the individual Customer Account page.
- This page provides a centralized interface for managing and reviewing all aspects of a specific customer's account.
Here’s what you can do on this page:
Summary Section:
Billing Information: View the customer’s billing details, including their address, phone number, and email. You can also verify their billing type (e.g., Residential).
Primary Contact Information: Displays the primary contact details for the customer, including address, phone, and email. Useful for confirming communication details.
Account Manager: Identifies the account manager responsible for this customer. You can edit this information if needed.
Payment Terms: Displays the terms of payment for this customer, such as NET30.
Account Information:
Customer Details: Shows the customer’s name, type (e.g., Residential Customer), and the date they joined.
Statement of Account:
View Balance: Opens a detailed balance statement for the customer.
Download Balance: Lets you download the statement in PDF or other formats.
Send Balance: Allows you to email the customer their balance details.
Total Due: Displays the total amount the customer owes.
Key Metrics:
Lifetime Value: Tracks the total revenue generated from the customer since their account creation.
Account Credit: Shows the current credit available for the customer. You can also issue credit by clicking the "Issue Credit" button.
Account Current: Displays whether the customer’s account is up to date or if there are outstanding balances.
Open Jobs: Shows the number of jobs currently pending for the customer.
Tabs Section:
Jobs: Displays a list of all completed and ongoing jobs associated with this customer.
Future Jobs: Shows jobs scheduled for a future date.
Invoices: Lists all invoices linked to this customer.
Recurring Invoices: Displays recurring invoices set up for the customer.
Estimates: Provides a list of all estimates created for this customer.
Agreements: Shows any service agreements linked to this customer.
Subscriptions: Lists any active subscriptions for the customer.
Schedule: Allows you to view and manage the customer’s upcoming appointments.
Interactive Search:
Use the Interactive Search box to ask questions about the customer or retrieve specific information related to their account, such as jobs, invoices, or payments. This is powered by AI and will give you specific answers to your questions and guide you towards what you seek.
Account Notes:
Add and manage notes specific to the customer by clicking the Add Note button. This is useful for keeping track of communication history or additional details.
Actions and Export Options:
Export Data: At the bottom of each tab, you can export the displayed data in various formats such as PDF, Excel, CSV, or print it directly.
