Add Email Templates

 

This feature allows account owners and administrators to create customized email templates for seamless and professional communication with clients. These templates can include dynamic variables to tailor email content for specific purposes, such as sending invoices, estimates, or status updates. By supporting HTML formatting, administrators can design visually appealing emails while maintaining consistency across all client interactions.

 

 

Prerequisites: Account owners and those with administrator access.

 

 

Instructions

 

 

  1. From the main Dashboard, click the Administration tab.





  2. You will enter the Administration Dashboard.





  3. Click on Communication Settings.





  4. Click Email Templates from the expanded Communication Settings tab to enter the Manage Email Templates page.





  5. Click the blue Add Email Template button to enter the New Email Template page.





  6. Fill in all fields:

    Template Name (Required): This is the internal name for the email template. It helps administrators identify the purpose of the template within the system (e.g., "Send Invoice/Estimate"). This name is not visible to the recipients.

    Subject (Required): The subject line of the email sent using this template. This may be in plain text or variables like %invtype% (Invoice Type) and %status% (Status) can be used to dynamically populate the subject based on the content or purpose of the email. For example, the subject might display "Invoice - Paid" or "Estimate - Pending" depending on the context.

    Body (Required): This field contains the main content of the email in HTML format. It supports HTML tags for creating well-formatted, visually appealing emails. Here you can use placeholders (e.g., %invtype%, %status%) to personalize the email content dynamically.


  7. Once complete, click Save Changes.



  8. You should then be taken back to the Manage Email Templates page where you will now see your added email template.
